Voice Export privacy policy
This policy explains what happens to your information when you use Voice Export: Speech to Text (“the app”), published by Silom Digital (“we”, “us”).
In short
There is no sign-up, and we never ask for your name, email or phone number. Your transcripts are saved only on your device. With your permission, the audio you transcribe is sent to our server and to Google’s Gemini service to be turned into text, and we delete our copy right after. There are no ads and no tracking, and we add no analytics of our own. If you use translation, Google’s translation component sends Google technical usage data, described below.
Who is responsible for your data
Silom Digital is the controller of the personal data processed through the app. You can reach us at admin@silomdigital.com.
What we collect and why
An anonymous ID. When you first open the app, a random ID is created for your installation. It is not linked to your name, email, phone number or advertising identifier. We use it to know which plan you have and how many minutes you have used.
Your audio, only while it is transcribed. The app asks your permission before audio is first sent, and you can withdraw it at any time with Allow AI transcription in Settings; without it, the app cannot transcribe. When you record or import audio, the audio is uploaded over an encrypted connection to our server and passed to Google’s Gemini service, which turns it into text. If you import a video, only its sound is extracted on your device; the video itself is never uploaded. Our copy of the audio is deleted as soon as Google has received it.
The transcript, only until it reaches you. Short recordings come back straight away. A long recording finishes in the background: its transcript waits on our server only until the app collects it, is deleted when it does, and is deleted after one day at most in any case.
Usage and plan. For your anonymous ID we keep how many seconds of audio you transcribed this month, which plan you have, and when it renews or ends. This is how monthly limits work.
A device check for free minutes. Free minutes belong to the device, not to the installation, so that they cannot be renewed by reinstalling the app. To do this, the app uses a code that stays the same if the app is deleted: a random code in secure storage on iOS, or the app’s Android ID on Android. On iOS it also asks Apple DeviceCheck to confirm it is a genuine device. On our server we keep a scrambled version of that code with the free minutes used on the device this month. It tells us nothing else about you or the device.
Technical logs. Like any online service, our hosting provider records technical information about each request, such as the IP address and time, for security and to keep the service running. These logs are kept for a short time and are not used to identify you. They never contain your audio or transcripts.
We do not use your audio or transcripts for any purpose other than producing your transcript. We do not sell your data, and we do not use it for advertising or to train AI models.
Who receives your data
We share data only with the service providers we need to run the app, under contracts that require them to protect it:
- Google (Gemini API) receives your audio to transcribe it. Google processes it under its paid API terms, which do not allow it to be used to train its models; Google may keep it for a limited time to detect abuse. See the Gemini API terms and Google’s privacy policy.
- Google (ML Kit) provides the translation component. If you use translation, it sends Google technical usage data for diagnostics and analytics, described under “What stays on your device”. See Google’s ML Kit data disclosure.
- Our hosting and database provider stores the anonymous ID, usage and plan described above, and holds audio and background transcripts for the short times described above. Our servers are located in the European Union.
- Apple and Google, when you subscribe. Payments are handled entirely by the App Store or Google Play; we never see your name, card or billing address. The store confirms to us, through a subscription-management service, which plan is active for your anonymous ID.
What stays on your device
Your transcripts, their titles, speaker names and your settings are saved only on your device. They are never uploaded for storage or syncing. They are removed when you use Delete my data or delete the app.
Translation also runs on your device, so your text is not sent to be translated. The language files are downloaded from Google the first time you use a language, and they stay on your device until you remove them or delete the app.
When you use translation, Google’s translation component (ML Kit) sends Google technical usage data for diagnostics and analytics: device model and operating system version, app identifier and version, an identifier for the installation, the languages you chose, what the component did, how fast it ran, and error codes. We don’t receive this data, and it is not used for advertising by us.
On a Mac, translation uses the translation built into macOS instead of Google’s component, and macOS downloads and manages its languages. Google’s component is not used on a Mac.
Permissions
- Microphone, to record audio you choose to transcribe. The app records only while you are recording.
- Photos and files, only when you choose an audio or video file to import.
You can change these permissions at any time in your device settings.
How long we keep data
- Audio: our copy is deleted right after it reaches Google. Google may keep it for a limited time to detect abuse.
- Background transcripts: deleted when the app collects them, and after one day at most.
- Free minutes used on a device: until the end of the month, even after Delete my data, so that deleting does not renew them.
- Anonymous ID, usage and plan: until you use Delete my data. An ID that has not been used for 12 months, and has no active subscription, is deleted automatically.
Delete your data
In the app, go to Settings → Delete my data. This deletes all transcripts on your device and, immediately, your anonymous ID, usage and plan record on our server. The device’s free-minute count stays until the end of the month. An active subscription is not cancelled by this; manage or cancel it in your App Store or Google Play account settings.
Your rights
Depending on where you live, laws such as the GDPR give you the right to access, correct, export or delete your personal data, to object to or restrict its processing, and to complain to your local data protection authority. Because we do not know who you are, the quickest way to delete your data is Delete my data in the app. For any other request, write to admin@silomdigital.com.
We process your data to provide the service you ask for (performance of a contract) and, for the device check, technical logs and translation diagnostics, for our legitimate interest in preventing abuse and keeping the service secure and working.
Children
The app is not directed at children under 13 (or under 16 in the EEA and UK), and we do not knowingly collect their personal data.
Security
All data sent between the app and our server is encrypted in transit. Access to our servers is restricted, and the app itself has no access to stored data except to upload your own audio.
Changes to this policy
If what the app collects or shares changes, we will update this policy before that version is released and change the date at the top.
